A. The chapter house and picnic grove are available to all members and their escorted guests.
B. The chapter house is equipped with an electronic security system that automatically locks all exterior doors, and activates an alarm system at a pre-set specific time each evening. If you are using the chapter house and hear a loud, high frequency sound, you will have only fifteen minutes to vacate the building before the system is activated.
C. For security reasons, the chapter house is kept locked at all times, and anaccess card must be used to enter the building. Please read the security regulations posted on the bulletin board.
D. Whenever any of the chapter house facilities are used, by individuals or committees, they should always be left as clean or cleaner than they were before you used them. If you are the last one to leave the building, be sure the lights and stove are turned off, the heat is turned down and the doors and windows are secured. If the fireplace has been used, be sure the logs are banked and the screens are tightly in place. Also, smoking is allowed at the discretion of the committee chairperson. If smoking is allowed then the smokers are required to empty their ashtrays before leaving, and ensure that all discarded cigarette/cigar, etc., materials are put out.
E. Parents are responsible for keeping their children under control at all times.
F. The soft drink machine is for the convenience of members and their guests. Please put all empty containers, cans, pull tabs, etc., in proper containers. (aluminum cans go in the recycling container.) Under no circumstance is the machine to be moved or unplugged.
G. The telephone is intended for bcc-iwla business. However, personal, short-duration calls are permitted by members for local calls only. No long distance calls are allowed.
H. Members and guests are urged to sign the register when using the chapter house and conservation farm. The register is to remain on the table in the entrance way.
I. Dogs and other pets are not allowed inside the chapter house.
J. The chapter house and adjoining grounds are not to be used for any overnight activity without written authorization from the board of governors.
K. The bulletin boards may be used by members for posting advertisements. Please keep all notices current. All other wall fixtures must be pre-approved by the chapter house committee.
L. Chapter house group usage -chapter members desiring to use the chapter house facilities for personally sponsored events must do so on a not-to-interfere basis. These functions will be allowed on a first-come basis for events not exceeding twenty-five (25) people. For larger groups, the sponsor of such events must.
M. Submit a properly completed application two months in advance of the planned event to the chapter house chairperson. This will allow sufficient time for the board of governors to act on the application.
N. To help defray the cost of utilities, a donation will be solicited for these functions. Submit a check with the completed application for $50.00 for a group from 1 the 25, $100.00 for a group from 26 to 50, $200 for a group from 51 to 100, and $400.00 for a group larger than 100.
O. Member sponsor must confirm chapter house use with the chapter house chairperson, one month in advance, of any special needs or catering services that are required.
P. The board of governors will only approve of functions that are considered to be in the best interest of our chapter. Generally, social functions such as bingo, dances, wedding receptions, etc., will not be approved. However, occasionally functions of this nature that are considered to be good community relations may be approved.
Q. Organizations not affiliated with bcc-iwla that are conservation oriented, such as the u.s. fish and wildlife services, etc., may be allowed to use the chapter house and associated facilities for sponsored group events. Sponsors of these events must comply with requirements listed above in paragraph l. (a), (b) and (c).
R. Catering services are the sole responsibility of the event sponsor. A list of catering services acceptable to the chapter will be provided upon request.
S. There will be a $50.00 fee assessed on any event sponsor of any chapter house function if they remain in the building beyond the approved pre-set time limit, and trigger a security system false alarm.
T. Heating and air conditioning - three thermostats are located on the walls in the chapter house. Before you leave, turn them all back to 60 degrees if using the heat or 80 degrees if using the air conditioning
